Operations Manager

Summary

As the Operations Manager, you are responsible for overseeing and managing the day-to-day activities of the operations team, encompassing project management, sales operations, human resources, facilities, information technology, and administration. This role requires a dynamic individual with a positive attitude who can solve problems rigorously and approach challenges with attention to detail.

Key Responsibilities

Operations Project Management

  • Lead Data Sciences’ Time Tracking software and report on progress to completion of projects and project profitability in coordination with the financial controller and account managers.
  • Oversee operations projects and employee requests, ensuring deadlines are met and removing obstacles.
  • Run the Operations project board to track accountability and timelines.
  • Provide operational updates through town halls, slack, and email.
  • Lead the preparation of board meetings, town hall presentations and other leadership meetings.
  • Identify and implement operational improvements to streamline workflows.

General Office Operations

  • Manage relationships with external vendors (e.g., facilities, tech providers, freelancers) to ensure quality and timeliness.
  • Oversee relationship with building management company and facilities
  • Collaborate with finance on cost optimization and profitability, maintaining an updated list of operating costs.
  • Manage office space in Montreal to support staff productivity (office cleanliness and order, food and beverage, wifi and VPN operations, desk assignment and officely management, etc…).
  • Organize DS events and manage their smooth execution which includes the DS yearly party and fun committee events
  • Mitigate risks by developing and updating policies and procedures annually.
  • Responsible for the management of our information technology: google workspace, WIFI, VPN, apple business manager, mobile device management, asset management, FOBs and all operating applications.
  • Liaise with external suppliers including IT management, cybersecurity and apple representatives

Human Resources

  • Oversee onboarding/offboarding processes and manage the HRIS system.
  • Serve as the point of contact for employee HR concerns, policies, and benefits.
  • Promote a healthy work culture through team-building, recognition programs, and satisfaction surveys.
  • Assist employees with benefits inquiries and liaise with insurance providers.
  • Maintain employee handbooks and enforce company policies consistently.
  • Manage the Remote platform for international employees and relationship with remote.com

Desired Skills and Experience

  • University degree in a related field such as business administration, project management, human resources and communications or equivalent.
  • Strong project management and organizational skills including time management and the ability to juggle multiple priorities to tight deadlines.
  • Excellent communication skills, both verbal and written.
  • Proficiency with Google Workspace, Slack, Trello, Toggl, IT tools and technology
  • Strong interpersonal skills and ability to develop productive working relationships with a wide-range of peers and stakeholders.
  • Strong judgment and decision making skills and ability to work with limited supervision.
  • Event management experience is beneficial including logistics and travel.
  • Bilingualism (French/English) is strongly preferred.
  • This role occasionally requires light physical tasks, such as lifting and moving equipment or materials, setting up workspaces, or being on your feet for short periods.
