Summary

Reporting to the President, the VP Operations will work to ensure that everything works correctly and improve all operations to achieve better results for the organization. Leading a small operations team, overseeing the work of HR staff and liaising with outside legal, finance, and security teams.

Key Responsibilities

Company Operations

  • Meet regularly with executive and senior staff members to discuss operational support requirements and ensure a constantly evolving set of policies, procedures and rules are in place to make DS a great place to work.
  • Work to implement recommendations and other priority items from a recent internal organizational design project through participatory collaboration and change management best practices.
    • This includes ongoing evaluation of the organizational design and structural elements, ensuring that systems in place continue to evolve to suit the prevailing environment and strategic direction.
  • Act as the General Manager of the Montreal HQ office, including day-to-day functioning, ongoing renovations, furniture, design, and technology.
  • Work with relevant stakeholders and/or outside firms to review, develop, and implement IT, and privacy- and data-protection policies (e.g. SentinelOne, data handling and security, CASL, GDPR).
  • Work with senior executives to set business metrics, ensure visibility to senior management through reporting, and help the company plan against them.
  • Track progress toward business objectives and measure and report on overall business performance across clients and divisions.
  • Work to empower and ensure proper documentation of decision-making and enable self-sufficiency throughout all levels of the organization.
  • Manage rules of Trello, Slack, Google Drive and other DS tools/channels to ensure they continue to offer the best user experience for all employees.
  • Maintain and support a staff-led Fun Committee to execute social activities.
  • Act as Project Principal for DS marketing efforts.
  • Work with the Office québécois de la langue française on a francization program to generalize the use of French at all levels of the organization.

Financial Management

  • Work with the President to manage the budget and approve expenses of the company with the support of relevant staff, including the development and management of department budgets.
  • Ensure the effective management of vendors (and vendor contracts), payments to vendors, and collection of client payments with the support of the Accounts team and the Head of Operations.

Solutions Delivery

  • Work with functional leaders and staff to develop and implement time tracking and capacity forecasting infrastructure.
  • Work closely with other VPs at DS to ensure the proper functioning of the sales to solutions pipeline, including creating and maintaining appropriate documentation, rules of Trello, and workflow procedures.

Requirements

  • Seasoned cross-functional stakeholder management. Demonstrated record of being able to identify when to bring together which stakeholders in order to focus organizational attention.
  • Direct experience in one or more of the following: software development, data science, data analytics, market research, digital marketing, web development.
  • Experience with change management theory and processes
  • Knowledge of financial and business practices and principles
  • Budget setting and cost management
  • Forecasting and operation of business strategies
  • Ability to interact with a team and different organizational levels
  • Performance control and monitoring
  • Experience managing vendor and client relationships
